What personal data we collect and why we collect it

General Policy

While UCAN does provide an opportunity for you to enter contact information, submit comments, pictures and other information, UCAN does not share that information with any third party, for any reason. Different types of information are collected to support the UCAN family of customers and for sales and marketing purposes. The different types of information collected are listed below and you always have the option of opting out of our information collection process.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact Forms

If you opt-in to leave contact information on our site, your name and email address are stored and may be used for contacting you about products, special events and other activities that may be of interest to you.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded Content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

As stated in the General Policy stated above, UCAN does not share your personal information with any third party, for any reason. Note that at events we participate in, the event operators may collect similar information and that their use of your information is outside of UCAN’s control. The event operators use of your information would be covered by their Privacy Policy.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

All data entered through our website and contact forms are used by UCAN.  We do not share or sell our customers data. Note that visitor comments may be checked through Gravatar, a commercial, automated spam detection service. The Gravatar service privacy policy is available here.

Your contact information

Your contact information is maintained solely for UCAN’s own sales and marketing purposes. These may include notification of product sales or special events. You are given the option to opt-out of the information collection process.

Additional information

Often the context of how personal information is collected is retained. For example, information collected from Facebook or Twitter related to a special event will be analyzed differently than data collected through the website as the data from that even may have a common theme – e.g. the data came from a runners’ event. That may provide some focus into what kinds of UCAN products in which those individuals may be interested.

How we protect your data

Data in UCAN’s possession is protected by both technical and physical means. UCAN does not maintain credit card information from an individual’s purchases. Personal information collected from sales or event participation is used for sales analysis purposes, but those processes occur in our offices on our protected internal network. The internal network uses a robust permission system so that only analysts with a need-to-know are provided access, again, strictly for sales analysis and product/event notification purposes.

What data breach procedures we have in place

UCAN maintains its systems in a state-of-practice facilities with well maintained firewall and intrusion detection protections in place. In the unlikely event of a breach, UCAN will follow the facility’s incident response procedures, including following regulatory breach notification procedures if appropriate.

What third parties we receive data from

UCAN may receive personal contact information from event operators, Facebook, Twitter or other sources. UCAN treats these data sources as if the information came from the individuals themselves. We do not use third party marketing services.

What automated decision making and/or profiling we do with user data

UCAN does not use any automated decision making or client profiling processes or services.

Industry regulatory disclosure requirements

UCAN follows all Federal and state disclosure laws and processes concerning the collection and use of our client’s personal information.
